Work directly with volunteer leadership on administration of programs. Provide guidance to volunteer leaders based on experience and organization’s policy and procedure for all programs. Responsible for maintaining and strengthening the relationship between parent organization and sub-units.
Work directly with conference leadership on the administration of activities and events including: issuing RFPs for outside vendors (registration, conference management, social venues, busing, etc.), negotiating contracts, interacting with the hotel convention service staff and complying with approved budgets. Responsible for keeping track of conference activities and archiving details for use with future events by inputting and maintaining administrative and financial data in organization database.
Joint Program and Conference Activities:
Prepare MOUs with other societies and oversee compliance.
Be actively informed on all program activities in order to respond to both phone and e-mail requests. (Request from volunteers, vendors, other depts., etc.)
Handle correspondence, mail and day-to-day inquires and concerns as they arise.
Provide guidance based on organization’s policy and procedures.
Must be available to travel to committee meetings as needed.
Be familiar with the use of the database, and other system software required for various projects and tasks including accounting, conference approval mgt. and publications.
